Sometimes images look a little different than expected in the guest portal. Now you have the option to crop images to your preferences by using the crop icon after upload.

Large volumes of house manuals can be overwhelming to manage, especially when trying to add to new properties. Now you can bulk select and assign house manuals easily. Use filtering, search, and internal notes to easily find the manuals you need and manage selection to change status, category, and add assignments.

⏳ Address Privacy Timer

Along with the option to hide check-in instructions for a specified time before check-in, you can now hide the property address for extra security in your property settings.

OTHER IMPROVEMENTS

🏘️ Property Level Bulk Editing

Previously when bulk editing to copy assignments at the property level using Select All would include the property currently being edited. The current property is now excluded to avoid duplication of elements.


💻 Custom Variable Management

Custom variables are now easier to view, manage, and use throughout SuiteOp. Variables make things like agreements and Slack messages customizable & flexible to show the information you need.

ℹ️ To use: Simply clicking a variable will copy to clipboard, then paste where you'd like to use.


👀 Tasks Have a New Look

We're continuing to make improvements on the Tasks UI.


💥 Filter Manuals by Category

You can now filter your manuals by category to more easily find what you're looking for.


🔑 Import Manual Code Improvements

You can now import a manual code from backup or manually enter a code of your choosing. Note: you need to disable scheduler on the reservation to do this. Manually entered codes are not pushed to the lock, this is only to show a code in the guest portal.

⛰️ Mount Upsells

Upsells are now even more powerful with Mount integration! Offer additional experience & activity options for your guests to book and earn commission through your Mount account.

ℹ️ Set-up Mount Upsells:

  • Create a Mount account on rentmount.com

🔐 Hide Staff Access Codes to SuiteOp Users Based on Permissions

You can now decide which users have access to view the user codes of your staff.

By default this access will be granted only to Admins but you can now edit this as it's own permission setting.


👤 Guest Portal User Sign-In

Introducing Guest Sign-in! Guests now have the option of signing in to the Guest Portal with an email address.

🚀 This creates a guest profile, enabling guests to add multiple stays, and provide easier information storage like saving guest credit card information. It also lays the foundation for a lot more loyalty capabilities to come.


🔓 Manual Code Capabilities


You can now manually set a code for your smart lock after disabling the auto-scheduler. This feature allows you to associate a known working code with a guest’s reservation, ensuring it appears in the Guest Portal just like dynamic codes, providing a seamless guest experience.

Important Note: This feature does not install the code on the lock; it only displays it to guests.

ℹ️ How to manually update codes:

  1. Open the guest reservation and scroll to the Smart Access section.
  2. Ensure the auto-scheduler is disabled (enabled by default).
  3. Select “Install manual code.”
  4. Enter the desired code and select your device.
  5. Click “Create.”

Note: Disable any other auto-scheduled codes so they don't continue to display to guests in the Portal. Previous codes should appear greyed out, with only your manual code white and "active" in the reservation Smart access list.

Note: Revoking access will disable Auto-schedule automatically and removes current codes pushed for that guest in their portal.


📳 Offline Code Support

We now offer offline code support through Igloohome. Display Igloohome codes seamlessly in your Guest Portals when needed.


OTHER IMPROVEMENTS

🖊️ DocuSign Improvements

Added multi-signer capabilities, translation improvements, dynamic fields, and improved pre-checkin flow for multiple guest use cases.


🏠 Property Level Upsells

Now you can assign upsells at the Property level in addition to the Portal level. If you have upsells that apply only to one or few properties, this feature is for you.

📊 Filter Updates

Updated various filter styles and fixed language filter bugs


📓 Reorder Property Manuals

Drag & drop manuals at the Property-level to reorder how they appear to guests!

You can also re-order the manual categories globally in the category settings.

Update the text displayed to users when prompted for security deposit and/or damage waiver.

ℹ️ This new option to add a "subtitle" text will appear in the Damage deposit verification rule if you enable a waiver or deposit.

✅ Verification Auto-Complete

Guest verification just got easier🎉

We’ve streamlined the guest verification process! Now, once all verification steps are complete, a guest will automatically be marked as “confirmed.”

While guests are still prompted to confirm their details after completing all verification steps, this new feature ensures they won’t remain in a “pending” status if they miss the final confirmation button.


📑 More Powerful Agreements with DocuSign

Collect more complex digital agreements from guests with our DocuSign integration. With our new DocuSign integration you can collect multiple guest signatures, easily require multi-page signatures, and unlock more flexibility than a standard Simple Agreement.

ℹ️ How to use:

  • First, connect your DocuSign account under Integrations > DocuSign > Connect DocuSign Account
  • Then, under Portals > Verify create a new "Agreement" Verification step and select DocuSign Template

🤑 Stripe Payment Functionality

You no longer need to open Stripe separately to charge or refund payments for upsells & security deposits. This can now be done directly in SuiteOp.

ℹ️ How to:

  1. From the upsell or reservation security deposit details click "Actions"
  2. Review payment details
  3. Capture or Refund right from SuiteOp!


⚫ Ability to Download Blacklist

You can now export your Blacklist, including all blacklisted guest details, to a CSV.

ℹ️ How to download Blacklist:

  1. Access your Blacklist from the Reservations List page (top right)
  2. Select "Export as CSV"

➡️ Import Codes from PMS

You now have the ability to import smartlock codes to display in the guest portal from your PMS. This allows other lock management smartcodes to integrate with your Guest Portals. SuiteOp will read the dedicated variable in your PMS and show these codes in your Guest Portal for a seamless experience.

ℹ️ How to:

Head to the Property > Settings > Instructions and change your Code type to "Import"

  • Toggle off "Enable remote control of this device"

🎉 Event Improvements

Portal events now have easier assignment capabilities and support bulk editing to quickly update portal assignments, categories, or activate/deactivate events.

ℹ️ How to bulk edit:

  • From the Portal Events page select events using the check box to the left of each event
  • Click Manage Selection on the top right
  • Make edits
  • Select Update to save changes

Show local events to guests with the latest update to Guest Portals! Through our new integration with All Events you can import events in the area to be featured in your Guest Portal. Additionally, you have the ability to manually add your own events.

❗Note: We will only show events with a date within your guest's stay (and within 40-miles of your property, to ensure events you may have added mistakenly won't display).

We suggest going in and adding events every month or so months for the upcoming months

NEW FEATURES

💰 Deposit Request Capabilities

Once guests initiate a deposit, they will see a renewal of the hold every 7 days (or 5 days for some cards) until it is released after checkout, due to limitations of payment processors. This renewal process involves capturing and releasing a hold within a short period, which may result in two simultaneous holds on the card for a brief time. We acknowledge that some guests may find this process inconvenient.

  1. Prevent guests from initiating deposit too early: You can now control when guests are allowed to process their deposit authorization. By setting the number of days (X-days) before check-in that guests can initiate the hold, you can avoid early processing. We recommend configuring an automated message in your PMS to remind guests to set up their deposit X-days before check-in.
  1. Cancel upcoming deposit requests: If a guest initiates a deposit that is no longer required, you now have the option to release it early, providing greater flexibility and control over deposit management.

NEW FEATURES

📖 House Manual

With the new House Manual elements, you can now share a lot more details about your property with guests, ranging from amenities, appliances, to any other useful instructions you’d like you share.

These elements will be displayed to your guests in the “Your Rental” section. Identical elements across multiple properties/units can be assigned to as many units as you’d like.

How to Configure Your Manual:

  1. Navigate to your Portal configuration and select the Manual tab
  2. Click on New and populate each field with relevant details. Do not forget to specify the element’s category (you can create your own custom categories too).
  3. For more pizzazz, you can include a video link, as well as internal notes for additional clarity for your internal teams.
  4. Assign the manual to a specific properties.

ℹ️ Note that you can also assign house manual elements to a property directly from the property itself! This makes it easier to manage if you have many single-property specific elements.

⏳Check-in instructions dynamic timer

You can now activate a feature that allows you to schedule a timer for guests to access their check-in instructions post-verification. This feature ensures that guests can only view the access details within a specified time frame leading up to their scheduled check-in, offering you peace of mind that guests won't be able to enter before the timer.

To enable this feature, follow these steps:

  1. Navigate to the "Property" section and select "Settings."
  2. Click on the "Guidebook" tab and toggle the switch for "Check-in Instruction Timer."
  3. Once enabled, you can set the timer duration between 0 and 48 hours.

ℹ️ While this feature is particularly useful for properties that do not have smartlocks, it can also be used in combination with smartlocks to create excitement around the check-in date, and engage guests to interact with their portal more as they look forward to unlocking their check-in instructions.

⏲️ Collect estimated check-in times (ETA) and estimated check-out time (ETD) from guests

Introducing a new feature that enables you to collect guests' estimated arrival and departure times during the verification process. This functionality empowers your team to effectively plan operational tasks such as cleaning and calendar management based on guest schedules.

To activate this feature:

  1. Go to Portals
  2. Choose the Property from the list
  3. Access the Pre-Checkin section
  4. Select "Your Details" within the Pre-checkin steps
  5. Activate the "Request ETA" button
  6. Click the "Close" button

ℹ️ To further optimize your housekeeping operations, you can view guests ETA/ETD directly in the reservations page.


🅰️ Direct Airbnb Integration

Our Airbnb integration is live. Small hosts who do not have a PMS can directly connect to Airbnb and leverage the full power of SuiteOp, at any scale!

Announcing Check-out instructions and smart-review collection for more 5-star stays ⭐⭐⭐⭐⭐

Just like your check-in instructions, you can now create beautiful check-out instructions, which will be displayed 18-hours before check-out.

  • You can now capture pre-review ‘ratings’. Enable this in any of your checkout steps to be alerted if a guest rates you 4 stars or below (so you can take action before they leave a negative review elsewhere).
  • When a guest selects 5-stars, they will be redirected to Airbnb to leave a positive review there (if they booked on Airbnb). If they booked on another channel, you can decide to re-direct them to Google or any other review sites (i.e. TripAdvisor) by adding your review site link inside the Property → Settings → Manual
