SuiteOp x KeyNest: Smarter Key Management for Short-Term Rentals

KeyNest is a key exchange network that allows guests to pick up physical keys from a nearby location — typically a local shop or locker — rather than requiring an in-person handoff with a host. This integration is particularly valuable when smart locks are not an option for a property.

When integrated with SuiteOp, KeyNest works similarly to a smart lock: a code is issued that activates at check-in and expires at checkout — all automatically managed within your existing workflow.

How most KeyNest integrations work

In a standard KeyNest integration, the process is straightforward but rigid. A code is pushed that becomes active on the day of check-in and expires on the day of checkout.

While functional, this approach has a drawback: guests can technically pick up keys many hours before their check-in window opens. This creates operational headaches around:

  • Early access before the property is ready

  • Late departures overlapping with turnover schedules

  • Difficulty enforcing check-in and checkout windows


The SuiteOp approach

SuiteOp handles this differently. Rather than activating codes based on calendar dates, SuiteOp pushes codes relative to your configured check-in and checkout buffers — so access is tied to the actual time of arrival, not just the date.

This means your KeyNest code won't go live until the appropriate window before check-in, giving you precise control over when guests can access the key — and by extension, the property.

💡 This buffer-based approach is the same logic SuiteOp uses for all smart lock integrations. KeyNest simply requires a slightly longer window due to the extra travel step involved.


Recommended buffer settings

For KeyNest integrations, SuiteOp recommends the following:

  • Recommended buffer before check-in: 90 minutes

  • Minimum buffer before check-in: 60 minutes


Why 90 minutes?

Unlike a smart lock at the front door, KeyNest requires guests to travel to a separate pickup location before they can access the property. A 30-minute buffer simply isn't enough.

A 90-minute window accounts for real-world variables that affect nearly every guest arrival:

  • Travel time to the KeyNest pickup location

  • Light traffic or transit delays

  • A quick stop along the way (coffee, groceries, etc.)

  • Time to pick up the key and then travel to the property

A 90-minute window gives guests a comfortable, stress-free arrival experience without opening the door to premature property access — so your guest never feels rushed, and you maintain full control over your turnover schedule.

⚠️ Setting the buffer too short risks guests arriving before the key code is available. Setting it too long has minimal downside — guests simply pick up the key a little earlier than needed.


Setting up your KeyNest buffer in SuiteOp

To configure the access window for your KeyNest integration:

  1. Go to Settings in your SuiteOp dashboard.

  2. Navigate to SuiteConnect and select your KeyNest integration.

  3. Locate the Access Buffer or Check-in Offset setting.

  4. Set the value to 90 minutes before check-in (60 minutes minimum).

  5. Save your changes. The updated buffer will apply to all future reservations.
