Creating Portal Templates

What is a portal template?

A portal template has a collection of properties that share common characteristics such as verification rules, upsells, and point of interest guides. Some of these can be assigned at a property level, but POI guides need to be assigned to portal templates, this means your portal templates should be geographic groupings of properties.


Create a portal template

By default you will have one portal template already created for you! You can use this template, or if you need additional templates use the steps below to create more.

  1. Navigate to the SuiteOp portal configuration page and select the "Portals" tab.

  2. Click "Add New" then edit pane will appear.

Portal template general settings

There are settings for each portal template you create that will determine what the guest sees in their guest portal. From contact information to quick access links, below are the settings and what they mean.

  1. Enter a name for the portal. This name is visible to you only.

  2. If you've already created a brand, select a brand from the list. To learn more about brands, visit our article on brands in SuiteOp.

  3. Enter the contact details. These are the details that the guests will be able to use to contact you throughout their stay. For the phone number, you have the option to use SMS, Calls, Whatsapp, or all 3.

  4. Optional Step - Activate the "Reservation Status" section. Once enabled, the reservation ID will be displayed in the guest portal's footer.

  5. Setup a special offer.

    1. Here, you can provide the details for a "Special Offer." This feature allows you to link to any website and can serve as an excellent way to redirect your guests to your direct booking website.

    2. Upload a cover image, a type, title, and call-to-action. Don't forget to enter a URL!

  6. Enable any pre-built quick-access link, such as SpotHero, BabyQuip, and more.


Enable pre-check-in

  1. Head to the "Pre-Checkin" tab of the portal template

  2. Enable Pre-checkin functionality, allowing you to add verification rules for guests to the properties assigned to this portal.

If you're creating multiple Portals, you can assign the same verification rule to more than one Portal. For example, if you want to collect Your Details for each Portal you can simply create one rule for Your Details and assign to multiple Portals. This makes managing verification rules easier as you scale.


Configure languages

  1. Go to the "Languages" tab

  2. Enable Multi-Language Support

  3. Choose your desired languages. To enable multiple languages in SuiteOp, you'll first need to head to the Portals > Translation tab of your side-menu. There, you'll have the option to enable more languages that guests will be able to chose from.

  4. Choose your default language & available languages


Configure your portal's assignments

  1. Choose from the available upsells and Points of Interests (POI) guides.

  2. Assign your portal to as many properties as you need. They will share any assignments made to this portal template such as verification rules, upsells, and point-of-interest guides.

βœ… If you have properties with different verification rules, upsells, and POI guides, simply duplicate the portal, edit the settings, and assign to these other properties.
