How to Assign Codes to Users

Users with the Access Only role can be given unique codes to open locks, without having access to the SuiteOp platform. This allows you to add their unique code to multiple locks all at once, and easily mange which properties they have access to. Here’s how it works and how to manage it.


Adding a User with Access Only Permission in SuiteOp

Use the Access Only role in SuiteOp to give users secure access to smart locks without granting full system permissions. Follow the steps below to add a new user's code to multiple locks without adding them to the SuiteOp platform.

Step 1: Navigate to the Organizations Page

From the left-hand menu in SuiteOp, click Organizations to manage your users.

Step 2: Click “+ Add User”

Click the + Add User button. A new user creation form will appear with four tabs:

  • General
    Enter the user’s email address, first name, and last name.

  • Access
    Select the groups or properties the user should have access to.
    The user's smart lock code will be applied to all locks associated with the selected groups.

  • Permissions
    Set the user role to Access Only.
    This limits the user to just one permission: Access with a smart lock code. They won’t be able to manage tasks, view SuiteOp, or make system changes.

  • Departments (Optional)
    If you've created departments (e.g., Cleaning, Management), you can assign the user to one here.
    Note: This step is not required for users with Access Only permissions.

What happens after adding the user?

  • After adding the Access only user you'll see their randomly generated code start to apply to each lock assigned to properties in the groups they were given access to. You can update this code in the Access tab if needed.

  • The user will receive their code in an email from SuiteOp.


How do I add a user to ensure their code works on the right locks?

You'll want to add users to the correct property Groups. All access is granted at a group level, you cannot assign users to only some properties within a group.

There are two ways to update a group for a specific user:

Add the user to the Group

  1. Click the gear ⚙️ icon next to the group or property where you want to give the user lock access.

  2. Go to Users

  3. In the Users section, search for the team member you want to grant access to.

Add the Group to the user's permissions

  1. Go to the Users page (under Organization)

  2. Find & select the user to update

  3. Click the Access tab

  4. Select the new Group to add

  5. Click Update to save


How to Change a User's access code?

By default, SuiteOp automatically assigns a random code to users with Access permissions, but if your user already has a code they know you can make this their code instead.

  1. From the left-hand menu in SuiteOp, click on Users under Organization

  2. Find & select the user whose access code you want to update

  3. Click on the Access tab to manage the user’s lock access settings

  4. Click on Change code to update the user’s existing smart lock code

  5. Enter the new code

  6. IMPORTANT NOTES:

    1. Previous Access Will Be Deleted:
      When you change the code, the previous code will be removed from all locks associated with that user. The new code will replace it.

    2. Code Conflict:
      The new code will not work if it already exists on any of the locks. Make sure the code is unique to avoid conflicts.
