Authority Reporting with Checkin

Overview

The Chekin integration enables automated authority reporting and guest identity verification for your properties. Chekin collects required guest information, verifies identities, and submits reports to local authorities—helping you maintain compliance with regional regulations while streamlining your check-in process.

This integration is particularly valuable for properties in European countries with mandatory guest registration requirements.


Creating your Chekin account in SuiteOp

Before connecting properties, you'll need to set up your Chekin account through SuiteOp.

To create a Chekin account:

  1. Navigate to the Chekin integration page in SuiteOp

  2. Click Create Chekin Account when prompted

  3. Enter your email address

  4. Create a secure password

  5. Select your account type (Property, Hotel, or Hostel)

  6. Click Create Account

Once your account is created, you'll see an empty property list ready for configuration.


Connecting properties to Chekin

You can connect properties to Chekin using two different methods depending on your needs.

Method 1: Connect individual properties

Use this method when you want to manually configure room assignments or only need to connect specific properties.

To connect an individual property:

  1. Click Connect Property

  2. Select Property from the connection options

  3. Choose the property you want to connect from the dropdown

  4. The property details will autofill

  5. Enter your VATSA number (if applicable)

  6. Important: When connecting individual properties, rooms must be added manually

  7. Select the corresponding SuiteOp property to assign

  8. Expand the property view to see all available rooms

  9. Click Save to complete the connection

Note: Houses will not have assignable rooms in this view.

Method 2: Connect property groups

This method automatically imports all rooms and units, making it ideal for hotels, hostels, or properties with multiple units.

To connect a property group:

  1. Click Connect Property

  2. Select Group from the connection options

  3. Choose the property group from the dropdown

  4. All rooms and units will automatically populate

  5. Review the imported rooms and remove any that shouldn't be included

  6. Enter your VATSA number (if applicable)

  7. Assign the group to the corresponding SuiteOp property

  8. Click Save to complete the connection

The primary advantage of the group method is automatic room population, saving time on manual configuration.


Configure property settings

After connecting a property, you can customize its settings to match your operational requirements.

To edit property settings:

  1. Locate your connected property in the Chekin integration page

  2. Click the Edit button next to the property

  3. Update any of the following:

    • Commercial name (public-facing property name)

    • VATN (Value Added Tax Number)

    • Property activation status (toggle on/off)

    • Identity verification requirements:

      • Require verification for all guests, or

      • Require verification for only the primary guest

For advanced configuration:

  1. Click Open Dashboard to access the Chekin platform directly

  2. In the Chekin dashboard, you can update:

    • Property name and commercial name

    • Country and city information

    • Additional property details

    • Authority reporting credentials (see next section)


Set up authority reporting

For properties in European countries with mandatory guest registration, you'll need to configure authority reporting credentials.

To set up authority reporting:

  1. From your connected property, click Open Dashboard

  2. Navigate to the authority reporting section

  3. Locate your country's reporting system configuration

  4. Enter the username and password provided by your local authority

  5. Save the configuration

Important: Authority reporting credentials are provided by your local tourism or police authority. Contact your regional authority if you don't have these credentials.


Create verification rule


Guest check-in process

Once Chekin is configured, guests can complete their check-in and identity verification through the guest portal.

How guests access Chekin:

  1. Guest receives their reservation confirmation

  2. Guest navigates to their reservation in the SuiteOp guest portal

  3. Guest goes to Portals > Verify > ID Check

  4. Guest selects Chekin from the verification options

  5. Guest completes the check-in form with required information

  6. Guest uploads identity documents (passport, driver's license, etc.)

  7. Upon completion, the identity check is marked as complete

The identity verification requirement can be set to all guests or just the primary guest, depending on your property configuration.


Viewing guest verification details

After guests complete their check-in, you can review their information and verification status.

To view guest verification:

  1. Navigate to the reservation in SuiteOp

  2. Scroll to the identity verification section

  3. Click View Details

  4. Click View on Chekin to open the Chekin dashboard

  5. In the Chekin dashboard, review:

    • Reservation details and status

    • Number of guests who have checked in

    • Guest information and contact details

    • Guest verification section with uploaded documents

To review identity documents:

  1. From the reservation in Chekin, click Guest Verification

  2. View uploaded identity documents (passport photos, ID cards, etc.)

  3. Review any additional documents provided by the guest

  4. Verify all required information is complete and accurate

All uploaded documents and guest information are securely stored in Chekin and available for authority reporting when required.


Pricing

Each Chekin property is billed at $3/month, and ID verification through Chekin is $.50 per verification. Note that ID verification is optional, you may still use the SuiteOp ID Verification step along with authority reporting.
