There are a few different ways you can create tasks in SuiteOp, depending on the nature of the task. Tasks can be created for one time needs, recurring time frames, and even automatically triggered by events in SuiteOp like reservations.
Manual one-off tasks
If you need to create a one time task, you can simply click the "New task" button and fill in the relevant information:
Go to Tasks
Click on "New task" in the upper-right corner.
Fill in Task Details:
Select the Property.
Select the Department.
Select the Template.
Enter a Simple Title.
Add a Description.
Set the Priority Level.
Enter the Due Date.
Enter Estimated Time to Complete (Optional).
Enter Cost (Optional).
Enter Assignee.
Tailor Departments to Specific Task Groups:
Create departments to organize tasks more efficiently.
Recurring tasks
If you want to create recurring tasks that happen on specific time intervals, say once a month or every other week, you can make the manual task recurring. This is helpful for recurring maintenance or trash pickup. When you're create a new task with the "New task" button, choose the recurring symbol when you pick a due date. You'll then be shown a repeat selector where you can modify the schedule.
Automatic Tasks
Some tasks should be created automatically based on certain events. An example of this would be Departure Cleans based on reservation check-outs. To create these automatic tasks we'll set up Workflows. Here is an example using Departure Cleans:
Go to the Workflows page
Add a new Workflow using the button in the top right corner
Choose a reservation trigger
At the time of check-out add an action
Choose Create a task as the action on the next screen
Select the Housekeeping (or Cleaning) department
Select the created task Template for a Departure clean (make sure you set this up first!)
Choose a default assignee for the tasks
Save the action
The workflow is configured, but we need to complete a few more steps to turn it on.
In your Workflow go to the Assignment tab
Choose which properties this should run for
Back in the General tab check the box to Activate the Workflow
Scroll down to the Danger zone, and click Run on existing triggers to have tasks created for reservations
Tasks made using templates will include the sections of the template that align with the elements of the property it is made for. This way if one property has a pool, you don't need to make a separate template for it, you can just add the pool element to that property.
